How Double Play Community Center Transformed Grant Reporting from Manual Spreadsheets to Automated Insights
We connected Double Play Community Center's Mindbody and Squarespace data into an automated Looker Studio dashboard, turning hours of manual grant reporting into instant demographic insight.
Double Play Community Center serves Lewis County residents of every age - from preschool dance classes to senior fitness programs - across more than 50 programs a year. Its mission is to turn “at-risk” into “at-potential” through accessible community programming. The center had no shortage of participants; what it lacked was a fast, reliable way to prove its geographic reach and community impact to grant funders.
The challenge
Double Play’s program data lived in separate systems: Mindbody handled fitness memberships and class registrations, while Squarespace managed program sign-ups. Every time a grant-reporting deadline arrived, staff manually reviewed registration lists, matched addresses to townships, and compiled demographic breakdowns by hand in spreadsheets.
The process was time-consuming, error-prone, and pulled valuable staff time away from serving the community. They weren’t lacking participants - they were lacking a clear way to demonstrate their geographic reach and impact.
What we built
Quantify selected Double Play Community Center for its annual free analytics project, part of an ongoing commitment to strengthening local nonprofits. We built a custom Looker Studio dashboard that automated the center’s entire grant-reporting workflow:
- Unified data integration - we connected both Mindbody and Squarespace into a single analytics platform, eliminating the need to manually reconcile data from multiple sources.
- Smart geographic mapping - the system automatically matches client addresses to their townships and municipalities via an API call to US census data, which is critical for demonstrating compliance with the geographic requirements in grant agreements.
- Real-time demographics - staff now have instant access to age distribution across programs, geographic reach by township, participation trends over time, and client counts that update automatically.

Every metric was designed around grant-reporting workflows, aligned with the demographic data funders request most often.

The outcome
Staff no longer spend hours reviewing registration lists and mapping addresses - grant reports that once required extensive data compilation now generate in minutes. And Double Play can demonstrate its community reach with confidence, showing funders exactly who it serves across Lewis County’s municipalities.
The whole transformation took under three months. The center didn’t need enterprise software; it needed its existing systems connected intelligently. The result: a nonprofit serving everyone from preschoolers to seniors can now prove its geographic impact instantly, freeing staff to focus on what matters most - bringing the community together.
